VacancyHawk ("VacancyHawk," "we," "us") operates the website at vacancyhawk.com and the related vacancy-prevention intelligence service (together, the "Service"). This Privacy Policy describes how we collect, store, use, and share information from visitors and customers.
By using the Service or submitting information through any form on the Service, you agree to this Privacy Policy. If you do not agree, do not use the Service.
2. Information We Collect
We collect the following categories of information:
- Information you provide directly โ name, email address, property address, ZIP code, role (owner / property manager / investor), payment information (processed by Stripe โ we never see card numbers), and any other information you submit through our forms or upload (e.g., Offering Memorandum PDFs).
- Communications โ emails or other communications you send to us.
- Automatic technical data โ IP address, browser type, pages visited, custom event data (search performed, report generated, checkout started/completed), and approximate location. This is collected through Vercel Web Analytics and Vercel Speed Insights, which use privacy-respecting first-party tracking (no cookies, no fingerprinting, no cross-site profiles).
- Public-record data โ VacancyHawk pulls from publicly available government sources (county assessor records, court eviction filings, foreclosure filings, building permits) and commercial APIs (RentCast, Rentometer). This is not personal information about you โ it's market data about properties.
3. How We Use Information
We use information you provide to:
- Generate vacancy-prevention reports and pricing analyses for the properties you specify
- Process payments via Stripe for subscriptions and one-time purchases
- Send transactional emails (receipts, confirmations, report delivery)
- Respond to inquiries and customer support requests
- Operate, maintain, and improve the Service
- Detect and prevent fraud, spam, and abuse
- Comply with applicable laws and respond to lawful legal process
4. Where We Store Information
We use third-party service providers to store and process information on our behalf. We share information with these providers only as necessary for the purposes described above.
- Vercel โ hosts the Service and provides analytics (vercel.com/legal/privacy-policy)
- Neon โ hosts our Postgres database of customer accounts and property records (neon.tech/privacy-policy)
- Stripe โ processes payments; receives only billing information necessary to complete the transaction (stripe.com/privacy)
- Vercel Blob โ stores uploaded PDFs (offering memoranda) privately, accessible only via signed URLs
- RentCast and Rentometer โ commercial data APIs we query to enrich reports; we send property addresses but no customer identifiers
- Telegram โ used to notify the VacancyHawk team of new orders (no customer personal information beyond email and order details is sent)
We do not sell, rent, or trade your information to third parties for marketing purposes.
5. Cookies & Tracking
The Service does not use marketing cookies, third-party advertising trackers, or cross-site tracking. Vercel Web Analytics uses anonymous first-party data only. We do not embed Google Analytics, Facebook Pixel, or similar trackers.
6. Your Rights
You may:
- Request a copy of the information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and information from our systems (subject to record-keeping obligations for financial transactions)
- Cancel any active subscription at any time

7. Data Sources & Aggregation Statement
VacancyHawk is a market analytics platform. All property and market data we analyze is sourced from publicly available government records and commercial APIs licensed for this purpose. VacancyHawk does not use or share nonpublic competitor rental data between property owners. We score properties and markets using only public information.
VacancyHawk does not produce consumer reports under the Fair Credit Reporting Act (FCRA) and is not a tenant screening service. Reports are produced for property owners and operators evaluating their own properties or properties they are considering acquiring โ not for evaluating tenants or applicants for credit, employment, housing eligibility, or any other FCRA-regulated purpose.
8. Security
We use commercially reasonable technical and administrative safeguards to protect information against unauthorized access, alteration, or destruction. Database access is restricted; payment information is processed by Stripe and never stored on our servers; uploaded files are stored in private blob storage accessible only via signed URLs. No internet-based service can be 100% secure, and we do not warrant absolute security.
9. Children
The Service is not directed to children under 18 and we do not knowingly collect information from children. If you believe a child has submitted information through the Service, email us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated to active subscribers by email.
